End of Year Procedures for Gradebook Completion

 
As has been the practice for many years, teachers were required to turn in their gradebooks prior to checkout at the end of the year.  With the implementation of the Electronic Gradebook, the process has changed.  Outlined below is the procedure that will be used to maintain records of teacher gradebooks.  Since some campuses implemented use of the gradebook sooner than others, procedures for all campuses are outlined.  Please administer the information that pertains to your campus situation.
  1. Teachers DO NOT submit print copies of the electronic gradebook to the office.  Teachers may print at their own discretion for their own records.  Campus Offices will NOT keep paper records of any grades submitted through the gradespeed system.
  2. Upon completion of the verification process by the classroom teacher, the obilgation to turn in gradebooks is fulfilled.
  3.   Once official grade reporting is completed through Region 20, the PEIMS and Data Services Office will create an archive file of each teacher's gradebook by campus.
  4. The archived file of each teacher's gradebook will be placed on the District Server and access to the gradebooks will be granted to Campus Principals.
  5. Campus Principals will be able to access, view, or print any gradebook from any teacher on their campus, should this information be needed.  Individual Teachers will NOT have access to this folder, ONLY campus Principals.
  6. Principals will NOT be able to make any changes to the gradebook.  Should a change be necessary due to review or incompletes, then an Official Grade Change form should be completed at the campus and stored for record purposes.  Changes to the actual grade must be completed through the Region 20 System.
  7. Principals will be notified via email once the archived gradebooks are made available for their campus.  Instructions for accessing the files on the server will also be provided. These records will be available to principals for the designated time period outlined in District Policy.
